Code of Conduct for Parents/Guardians

High standards are expected of everyone associated with Flair Gymnastics Club and all parents should strive to help us promote a positive image for the club.

Flair Gymnastics Club reserves the right to take appropriate action (as determined by the coaches and committee, in line with club policy) towards any parent/guardian who fails to comply with the code of conduct and other reasonable expectations not explicitly detailed within.

I agree to support my child’s involvement with Flair Gymnastics Club by following the club’s rules and principles, and I will:

  • Respect all other club members, coaches, officials and parents.
  • Behave in a sporting and supportive manner at all times.
  • Recognise the importance of good performance over results.
  • Always keep my language proper and correct for all ages.
  • Keep my contact information updated and ensure that all named contacts are available in the event of an emergency.
  • Pay my gymnast’s membership, class fees and associated costs promptly.
  • Make sure my child is appropriately dressed for gymnastics and has a drink available during sessions.
  • Ensure that my child understands and complies with the gymnasts’ Code of Conduct.
  • Drop my child off and collect them from the Gymnastics Hall at every session, or provide written consent for them to leave the training hall on their own.
  • Keep the club apprised of any changes to who can collect my child from sessions.
  • Inform the club as soon as possible in the event that I am going to be late to sessions for either drop off or pickup.
  • Inform my child’s coach about any injuries or illnesses that may affect them before sessions begin.
  • Never force my child to take part in gymnastics.
  • Speak to the appropriate club official (coach, child protection officer, committee member) in the first instance in the event that I have any concerns or complaints about the club.
  • Follow the club’s policy regarding proper use of social media.
  • Set a good example for all members connected to the club at both training and competition events by displaying respect for other clubs, accepting decisions made by judges and officials and promoting the positive aspects of gymnastics.
  • Support my child’s interest in gymnastics outside of training sessions.


Code of Conduct for Gymnasts 

As a member of Flair Gymnastics Club, I agree to abide by the club rules and principles and I will:

  • Respect all other club members, coaches, officials and parents.
  • Follow my coach’s guidance relating to gymnastics activities.
  • Behave in a sporting and supportive manner at all times.
  • Attend all training sessions and make sure the club is informed if you will be absent.
  • Wear suitable clothing for gymnastics, as agreed with the coaches and club policy.
  • Keep long hair tied back and remove all jewellery before beginning any session.
  • Inform the club of any injuries or illness that may affect my training before my session begins.
  • Treat the venue, facilities and equipment with due care and respect, and help to keep the gym tidy.
  • Keep my language appropriate for all ages at all times.
  • Remain in the Gymnastics Hall until collected by my parent/guardian or until my coach agrees to release me if I have permission to leave on my own.
  • Train hard, give your best effort and be positive at all times.
  • Be a role model for others and act in a manner that sets a positive image for the club.
  • Avoid inappropriate use of social media by following the club’s guidance and respecting any instructions relating to online activity relating to the club.

Flair Gymnastics Club is committed to providing a safe environment for its members to participate in the sport.  There are inherent risks involved in the skills and training exercises involved in developing gymnastics ability, and the club recognises its responsibility to minimise these risks as much as is possible. We also recognise that the adults involved in our club hold a position of influence over the children participating and therefore we expect each club coach and official to take their role seriously and behave in a professional manner.

The club has a Safeguarding Officer who is responsible for ensuring the welfare of all participants and act as a confidential point of contact for any concerns that any person connected to the club wishes to report.

If you, either as a parent or gymnast, have a concern or disclosure, please do not hesitate to make contact with any trusted person within the club.  All adults involved in the club have a responsibility to respond to any observed poor practice, inappropriate behaviour or reports or suspicions of abuse.  All concerns and disclosures will be taken seriously and investigated, following SG & BG Child Protection protocol.

The Role of the Club

The club must implement all SG & BG policies regarding the protection of children and vulnerable adults, risk assessment, health and safety and recruitment.  It must also ensure that each individual working with the club maintains valid qualifications, insurance, Safeguarding training and PVG Scheme membership.  

The club must promote an open atmosphere of engagement with all of its membership to ensure that everyone involved with the club feels able to raise concerns without fear of victimisation or reprisal, and display a zero tolerance attitude towards poor practice to ensure we always provide the best possible environment for our members.

The Role of the Coaches

All of our coaches are required to hold the appropriate level of qualification for their activities and must also have undertaken Scottish Gymnastics Safeguarding training and hold a valid PVG background check to work within the club.

They must put the safety and welfare of the gymnasts first when carrying out training activities, as set out in the Coaches’ Code of Conduct.  This includes tailoring their methods and progressions to the age, ability and experience of the individual gymnasts to ensure that they can learn in a safe way.  They must also ensure their feedback and criticism is constructive and avoids negatively impacting on the self-confidence of their gymnasts. 


Social Media

The club has a full Social Media Policy that covers this area and should be read in conjunction with this document.  This section summarises the key points.

We operate various social media accounts as part of our publicity strategy and as a means of communicating and engaging with our members.  We recognise there are risks involved in online communication, especially with regards to children & young people.  Therefore, the club has a clear policy regarding the use of social media for its members and personnel:

  • The club’s social media pages and accounts are to be used for the purposes of publicity, communication regarding club training and events, and promoting gymnastics only.
  • No adult involved with the club is to accept or make a request to connect their own social media profile with any club member under the age of 18.
  • No adult involved with the club is to allow or instigate online or social media communication with any member of the club under the age of 18.
  • All parents/guardians are responsible for monitoring their child’s online and social media activities to ensure that their actions do not put them at any risk of violating club policy.

What to do if you have a concern:

As a user of social media, chat rooms and other electronic communication either as a child, young person or adult, you may at some time have a concern regarding what you have seen or what you have been told by another user. This may range from abusive or negative comments and cyber-bullying, to suspected grooming for sexual abuse or exploitation.

If you have a concern please contact the Safeguarding Officer or Head Coach immediately.


Drop Off & Collection of Gymnasts

Flair Gymnastics Club operates within a public facility, with other users from a wide variety of sports and activities.  In line with our commitment to safeguarding our participants during sessions, we also recognise the need for clear rules regarding the safe arrival and departure of our gymnasts. 

When you come to sessions, you are required to bring your child to the training venue within the Gymnastics Hall and sign them in – please do not drop them off in the car park or leave them in the foyer.  Our legal duty of care only begins when you sign your child over to a member of club personnel. 

At the end of their training time, gymnasts will be organised in their groups for collection.  You must come to the Gymnastics Hall doors and sign your gymnast(s) out before they leave.  We will not permit gymnasts to sign themselves out unless you provide written consent for your child to do so, and the club retains the right to use its discretion regarding the release of children even with written permission.

You must ensure that if anyone not listed on your emergency contacts is going to collect your child at a session, the club is informed in advance by e-mail or at drop-off in person.  


Uncollected Children

If a child is not collected from their session at the normal finish time, they will be asked to remain in our training hall to await collection.  A minimum of two club officials will remain with them; if this is not possible for some reason, the adult and young person should move to a public space (i.e. foyer) to wait.

Parents/guardians should make every effort to contact the club in the event that they will be delayed in picking up their child:

  • Contact us via e-mail (info@flairgymnasticsclub.co.uk) or our social media accounts
  • Phone/message the Safeguarding Officer or Head Coach to inform us and provide guidance or consent for another parent to be responsible for collection

If we do not receive any communication regarding uncollected gymnasts, we will follow the steps outlined below: 

Step 1 – After 10 Minutes

We will phone and/or text the contact details on record for the gymnast.

Step 2 – After 20 Minutes

We will phone and/or text the emergency contacts available for the gymnast.

Step 3 – After 40 Minutes

We will make an initial phone call to the police (101) outlining the situation.

Step 4 – After 50 Minutes

We will contact the police again to inform them of an “abandoned child”.  Duty of care is transferred to the police at this time.

Step 5 – Record the Incident

Document the incident and send a copy to Ethics & Welfare at Scottish Gymnastics.


Training Kit

All gymnasts should bring warm layers to be worn during warm up and stretching to help maximise the efficiency of these exercises.  These will then be removed for skill work.

Female gymnasts should train in a leotard and can also wear hipster-style shorts or leggings if they wish to.  For male gymnasts we recommend training in a leotard, however a fitted t-shirt and shorts is also acceptable for Floor & Vault training.  

This is a health and safety measure, as coaches will need to support complex, fast movements precisely and cannot do so with loose/baggy clothing obscuring the gymnast’s body shape.  It is also good practice for our gymnasts to get used to working in a leotard when performing and helps develop a professional attitude to training. 

Any additional items of kit (i.e. conditioning sheets, routines, handguards, gloves and loops, elastics, etc.) should be brought to each session and kept in a personal kit bag.


Photography & Videos

The club requests the right to take photos and videos of members during training and at club events.  This serves as both a training aid – i.e. to help gymnasts see their own performance and where corrections can be made – and also supports the club’s publicity, including social media platforms.

If you do not wish for your gymnast to be included in club photography & media for any reason, please inform the club in writing via e-mail.  You may also change your consent at any point.

Should the club wish to use any photographs or videos that feature a particular gymnast prominently, additional permission will be sought from the gymnast and their parents/guardians.

Any photos or videos taken of any member of the club should only remain on a personal device for the purpose of transferring it onto the club’s online storage.  All media taken to assist with training exercises must be deleted from personal devices as soon as it has served its purpose.

Gymnasts themselves are not allowed to use their phones to take pictures or videos during their training sessions without the explicit permission of their coach.  This helps ensure that no member’s confidentiality is breached and reduces the risk of cyber-bullying.
